Uptime Group wants one central overview
Uptime Group is a cluster within the Cronos Group, active in services, consultancy, software licensing, and hardware. Their mission is to deliver high-quality, specialized IT solutions to clients through a network of companies, each with unique expertise. Until recently, each subsidiary largely operated on its own, with limited exchange and little centralized oversight.

Multiple tools, fragmented system
Before the start of the project, Uptime Group managed its sales and project data through a mix of Excel, Navision, and email. A first Salesforce environment had already been set up and connected with Navision, but only a small group of employees actually used it. The result was a fragmented database, limited reporting, and little visibility into opportunities. Collaboration became especially complex when multiple subsidiaries worked with the same client or project. Management therefore wanted a shared platform to connect all entities while preserving autonomy and privacy.

Adoption and collaboration
In addition to the technical complexity, there was also a human challenge. Over time, different subsidiaries had developed their own ways of working, making it difficult to align everyone. There was also reluctance to share data and adopt new digital tools, as this initially meant more administration. Nevertheless, together with internal project leaders Martin and Kurt, we managed to build trust and convince colleagues of the added value: more visibility, less manual work, and ultimately a stronger joint platform.

One central platform with Salesforce Sales Cloud
Brightfox designed and implemented a unified Salesforce environment that brings together all Uptime Group subsidiaries in one central system. Salesforce Sales Cloud forms the core of this new platform, providing the foundation for more efficient processes and improved collaboration.

Integrations with existing systems
A crucial part of the solution was connecting Salesforce with Uptime Group’s existing IT environment. Through an integration with Business Central, projects can be created and tracked directly from Salesforce, including invoicing. SharePoint was connected for document management, with the rights structure automatically aligned based on Salesforce data. For time tracking, TIA was integrated, allowing employees to easily log and monitor their work. In addition, PDF Butler was implemented to automatically generate quotes, ensuring a streamlined and professional document process.

A secure environment for data sharing
Since Uptime Group consists of multiple entities, it was essential to respect both privacy and autonomy. Brightfox therefore configured custom data-sharing rules. Customers and contacts are shared across the platform, while opportunities are only visible when collaboration is explicitly required. This ensures each subsidiary can work independently and securely, while Uptime Group as a whole maintains full oversight.

One source of truth, scalable for growth
Today, Uptime Group benefits from a single source of truth for reporting, providing better visibility into the full sales pipeline. Subsidiaries collaborate more smoothly while respecting data privacy. Project tracking has also improved significantly, enabling managers to step in and plan faster. Thanks to the agile approach and ongoing support, the adoption of digital tools has increased noticeably. The Salesforce platform offers a scalable foundation for future growth and optimization. While the transition still requires adjustment for some subsidiaries, users are already experiencing clear advantages: less manual work, more transparency, and improved customer service.
